Heads up if you did not already know - We no longer require hard copies for records with a retention greater than 10 years. Currently, only permenent records are required to have an "eye readable" version.

How do you save electronic document properties (metadata) long term?

I've been asked a question about saving the properties (metadata) on electronic documents like Microsoft Word and Excel long term.

Does anybody have any suggestions on how I could save electronic files that have permanent retention such as Word documents or Excel spreadsheets, in which the properties of the document need to be retained? Records: How do you handle Employee name changes?

Our Personnel and Finance departments are really getting the hang of using a document imaging system to store and retrieve their records. Since both departments have to keep and link records for several years, the question came up during a staff meeting of how do we find and link employee's information whose names have changed that don't have a Social Security Number as a search field or any unique identifier as a field?
