I should be more clear on what I'm trying to achieve...although I tend to get bogged down with all the peripheral details...
The main focus is to go, day forward, to capture all e-mails and related contracts, POs, correspondence, Quotes, Sales Orders, drawings, costs sheets, etc., and send them to an archive/repository system (yet to be determined). This would also include capturing invoices and paid receipts on a minimal level which would necessitate the need for scanning. This is the only contact Sales has with regard to Accounting paperwork. Ideally they could have access to the archive system and simply send the invoices to that particular order. But, again, scanning the received check and payment history would be needed.
Now, what does 50,000 refer to? Orders, Quotes, Correspondence, POs, Drawings, etc.? I know for a fact that we have ~200 open orders. Some can have 100+ pages or no more than 5. Also, when you say "content management" what does that mean vs. "records management?" Would content management be the selection of special fields for findability? I plan to take another course from AIIM, and I want to be sure whether I should take ECM or ERM. Maybe I should take both? ECM does sound rather daunting...
...anyway, IT is considering moving from MS 2003 to 2007. If so, I would consider MS Sharepoint as a solution. WDYT?
My next step? It depends on whether we're migrating to MS 2007. If so, I'd immerse myself in studying Sharepoint information and, if I think it's a viable solution, I'll make a presentation to management. I need to focus on some kind of solution - I feel I'm too fragmented in my research...
...and I've been informed that the company is stepping up our Evo/ERP system, so instituting an e-mail archive system is second on the list and could be six to twelve months away. I have the entire support of top management, just have to get the final o.k. from the CEO. This is why I really need to research and recommend a solid archive solution.
I also will take you up on your suggestion that I contact Laurence Leong - and thanks for that resource - I really appreciate it!
Thanks for your help! Look forward to speaking with you often on this important task I have.
Best,
Mary
O.K., here's what I want to accomplish:
Capture e-mails (content/business record /indexing/taxonomy/metadata TBD) thru some kind of e-mail archiving s/w.
Ability to search and retrieve
Send to archive/repository
Keep for 10 years for litigation purposes
I would also like to include some sort of signing s/w - any PO we receive must have seven sign offs and I want to do it electronically.
I have had some vendors out here and I liked the DocStar system.
Scanning would have to be included, just invoices after the order is done, paid and closed.
To recap, I want to capture e-mail (including .pdf as well as text)
Index
Retrieve
Save to archive
I am very new to this process, and I have completed the EMM Practitioner course...as you know there is so much information out there. I'd like to keep it as simple as possible. I am looking at Sharepoint, but we do not have MS2007 on our system, but I believe it can be done for minimal cost. We would need possibly 10 people on this system.
From what I hear from management, it could be 6-12 months before any decision. During that time I plan on doing as much research and sifting through information so I can come up with a plan and presentation for management.
Thanks for your e-mail!
Mary
I would like to ask a favor. I am finishing my master’s thesis and part of it is to make model to measure communication of international teams (virtual).
So, if you have a few minutes to take the survey please click on the link:

Thank you in advance
